Administrative Assistant -
As assistant to the real estate department, my duties are extremely diverse and require me to be resourceful, self-disciplined, and possess exceptional multitasking and organizational skills, and use critical thinking and initiative for problem solving.
I assist with pre closing matter such as:
1) Open Files which consists of printing out maps from Property Appraiser's website; print the tax statements to ensure taxes are paid and current to date from the Leon County Tax Collector’s website; check the Florida Department of State, Division of Corporation’s website to ensure the company is active and valid; and open new client and/or new matter form templates for tracking charges to new client or old client with a new matter.
2) Develop timelines to track critical dates that coincide with the deadlines in real estate contracts which includes tracking deadlines derived from the date of contract such as: the effective date (date of signature); additional deposits that are due; the inspection period dates; when surveys are due; when the title insurance commitment is due; and to determine the closing date.
3) File and circulate client files between Secretaries, Attorneys and Staff.
I assist with post closing matters such as:
1) Record documents such as deeds, mortgages and Uniform Commercial Codes (UCCs) with the Leon County Clerk of Court and the Florida Secured Transaction Registry.
2) Hand-deliver closing packages to various banks, mortgage lenders, law firms and title companies.
3) Prepare letters to buyer(s), seller(s) and lender(s) transmitting original, recorded documents and copies of all loan documents related to the transaction.
4) Calendar dates that coincide with the deadlines in real estate contracts.
5) Verify satisfaction of mortgages with the Leon County Clerk of Court’s website.
6) Draft and finalize loan and owner title insurance policies and transmit original or copies to buyer(s), seller(s), lender(s) and closing agent (Ausley).
7) Create Closing Document Index binders from residential and commercial real estate closings for buyer(s), seller(s), and closing agent (Ausley); which includes an index cover sheet and corresponding numbered tabs.
Closing Files:
1) Use Juris software computer database to ensure full payment has been received for all bills, fees, and expenses and title policy(ies) have been completed and sent out.
2) Submit Closed Matter From to the Accounting Office for approval to close and send file to off-site storage.
Daily Duties:
1) Maintain and enter time records using the Juris software computer database for attorneys and paralegals.
2) Make deposits of checks for thousands and/or millions of dollars to financial institutions.
3) Train new runners. Responsible for two runners assigned to Real Estate department and two to the Utilities department.
4) Answer phones and take messages for attorneys or secretaries when they are out.
5) Filing of paperwork or files.
6) Copying, providing runners to make copies.
